When the mailbox is full

Each Microsoft E3 license limits 100Gb online email storage for existing mails. This page guides you to transfer some emails to the local drive on your computer when the online storage is full.

Step 1: Create an Outlook data file that is stored on your computer.

1. Click Account Settings


2. Data Files - Add


3. Choose the path where you want to save it and put the name.


4. Then you can see the option in outlook.


Step 2: You have 2 options from here. 

 1. Use the AutoArchive feature: File > Options > Advanced > AutoArchive > AutoArchive Settings



Restart the Outlook app, click Yes when you see the prompt above, and old emails will be moved into the local data file gradually and slowly. 


2 Move the selected folders or emails manually. Right-click the email or folder and select Move to, and you can also drag them into that data file you created earlier. 


Note: Those emails stored locally will NOT be found when using Office 365 Web apps via a browser.
